Ubud Run Day 2025 - December 13, 2025

All participants must read and understand the regulations before registering.

Overview

By registering for Ubud Run Day 2025, participants are deemed to have fully understood and agreed to comply with all applicable rules and regulations.

Participant Definition:

Participants are those who receive an official confirmation email from Ubud Run Day 2025 stating that they are registered for the event, either through Early Bird registration, Regular registration, or other official programs.

Eligibility

  • Indonesian Citizens (WNI)
  • Foreign Citizens (WNA) with valid passport
  • Podium winners divided by male and female

Age Requirements

17+ Years Old

Minimum 17 years old on Race Day

5K Run

10+ Years Old

Minimum 10 years old on Race Day

Parental Consent

Participants under the age of 17 or 10 on Race Day are required to submit a parental consent letter. The letter format is available for download.

Health & Safety

Health Risks

Participants are advised to consult a doctor before participating in the race. Participation carries risks including:

  • Accidents and injuries
  • Health disorders
  • Paralysis
  • Damage to personal belongings

Organizers are NOT Responsible For:

  • Risks and dangers that occur
  • Late arrival at the race
  • Congenital diseases
  • Accidents during the race
  • Loss/damage to belongings
  • Force Majeure

Monitoring and Support

Marshaling will be conducted throughout the race to ensure participants comply with the applicable rules and regulations.

Special Conditions

Pregnant Participants

While an active lifestyle during pregnancy is encouraged, participants who are pregnant must:

  • Report their condition
  • Submit a doctor's letter
  • Sign a declaration letter

Deadline: 1 week before Race Day

The organizer is not responsible for complications and may disqualify participants for health reasons.

Media & Copyright

Publication Rights

By participating, participants grant the Organizer an irrevocable right to use:

  • Name and face
  • Biography (factual or otherwise)
  • Photos and videos
  • Intellectual property rights

Content Ownership

All copyright and intellectual property rights related to the competition belong to the Organizer, including:

  • • Competition results, photos, videos, and location data
  • • Use of name and personal data (age, location)
  • • Publication across all media worldwide

  • • Considered as agreement to the regulations
  • • Confirmation email sent after payment
  • • Registration ID will be provided

BIB Number

  • • Personal and non-transferable
  • • Sale or transfer will result in disqualification
  • • Must be worn and clearly visible during the race

Race Pack

  • • Not sent to participant's address
  • • Cannot be collected on Race Day
  • • Can be collected through a representative
  • • Collection information via official email
  • • Online request via application
  • • Show identification during collection

Participant Ethics

Allowed Behaviors

  • Using the provided drink stations
  • Showing good sportsmanship
  • Following the instructions of the committee

Prohibited

Vehicles & Equipment

  • • Bicycle, skateboard, stroller
  • • Baby jogger, wheelchair
  • • Motorized vehicles

Behavior

  • • Blocking other participants
  • • Bringing pets
  • • Disrupting the start/finish

Prohibited from using disruptive sound devices, dancing, performing, or playing musical instruments.

Safety

  • Prohibited from bringing dangerous items
  • Prohibited from blocking pedestrians or emergency vehicles

Timing System

  • • Race time displayed at the start and finish lines
  • • All participants receive a bib with a timing chip
  • • Checkpoints at the start/finish and halfway points
  • • The organizer has full authority over official timekeeping

Route & Tracking

  • • Must complete the entire official route
  • • Checkpoints ensure participants follow the route
  • • Route violations will result in disqualification
  • • Marshaling along the race

Medical & Safety

  • • Medical services provided by the committee
  • • Cooperation with local hospitals
  • • Professional medical personnel
  • • Road security coordinated by the police
  • • Medical personnel have the right to stop participants
  • • Related agencies assist in security

Disqualification Conditions

Participants will be disqualified if:

  • • Fails to finish within the cut-off time
  • • Does not follow the committee's instructions
  • • Disrupts the race
  • • Brings dangerous items
  • • Endangers the safety of other participants
  • • Medically unfit

Participants who are disqualified will not receive a finisher medal.

Awards & Prizes

Prize Eligibility

WNI (Indonesian Citizen)

Eligible for cash prizes for podium finishers

Foreign Citizen (Warga Negara Asing)

Eligible for cash prizes for podium finishers

Tax Information

• Cash prizes are subject to tax in accordance with government regulations

• Taxes are borne by the winners

The tax rate follows the applicable regulations in Indonesia

Prize Collection

  • 20 working days after the Competition Day
  • Must provide bank account information
  • Correct and complete address

Prize Claim Requirements

  • Showing valid ID
  • Wearing chip and bib number
  • Without valid ID = no prize

Winner Responsibility

Errors in bank account or address information are the responsibility of the winner. Ensure all provided data is accurate and accountable.

Amendments & Force Majeure

Regulation Changes

The organizer has the right to change the Rules & Regulations at any time without notice.

Participant Obligations:

  • • Regularly check for updates on the official website
  • • Monitor the competition app
  • • Follow official announcements

Unspecified matters will be determined by the Organizer.

Registration Fees

Refund Policy:

  • • Registration fees are non-refundable
  • • Applicable under all conditions
  • • Includes cancellations by participants

Organizer Rights:

  • • Reject confirmed registrations
  • • If data is incorrect or false
  • • If data is incomplete

Force Majeure

The organizer has the right to cancel or reschedule the competition in the event of Force Majeure.

Conflict & Security:

  • • War (declared or not)
  • • Riots
  • • Strikes
  • • Government actions

Natural Disasters:

  • • Floods
  • • Fires
  • • Earthquakes
  • • Other natural disasters

Other Conditions:

  • • Epidemics
  • • Major accidents
  • • Embargoes
  • • Legal prohibitions

In the event of Force Majeure:

  • • Registration fees are non-refundable
  • • The organizer is not responsible for any risks or losses
  • • The organizer's decision is final
